***PLEASE READ*** UPDATES/IMPORTANT REMINDERS:

 

5/6 UPDATE - The Referrer Table duplicate cleanup and account merge took place on Friday, 5/3 and ran successfully! I am working in tandem with a Fuji team member to do some additional cleanup, please reach out to me if you need any assistance or have any questions, thank you!

 5/1 REMINDERS - If you have access to the Referrer Table, please ensure that you are filtering the Active Column in the Referrer Table to ALL to see both the Active and Inactive accounts (Inactive accounts will be highlighted in red) for referrers. Inactive account can be used, you just have to toggle the Active Switch in the Info Tab of the referrer account to the right. DO NOT create a new account if the referrer has a deactivated account, you can reactivate, and/or correct/add information. If you have any questions or need help, don't hesitate to reach out to me.

If an address location in a referrer account is inactive, it will be highlighted in red. If you need to reactivate an address, you can do so by toggling the Active Switch to the right and double saving, DO NOT add or import a new record if the address is already listed! If you need to deactivate an active address, you can do so by toggling the Active Switch to the left and double saving.

 

 If a referrer account is deactivated that is currently associated with an order, when you go into the order, the referrer name at the bottom of the screen will be red (see screenshot below). If this happens, you must remove the deactivated referrer from the order and associate the active account.

 

 

4/15 - If insurance information was either missing or incorrect at time of scheduling, please ensure that after you are adding or correcting information (Don't forget to save!) that you are going to the Actions dropdown menu in the upper right corner of the Insurance Information Screen and selecting APPLY TO ALL OPEN STUDIES. This will add/update the information at the order level if the insurance has already been assigned. 
 
Additionally, if you add a brand-new insurance at the patient level that needs to be applied to all open studies, you can use this function, it is not just for updates to already existing insurances. Please see the screenshot below.
 
Note: Do not use this option if the change or addition only applies to a select study or studies. In the event that it should not be applied to every open study, you will need to go into the specific study or studies that it applies to and use the blue Insurance Carriers Hyperlink on the Order Screen to update.

4/2 - When you are creating an order in the Order Entry Screen, the Screening Questions will pop up when you click Continue. If you are not scheduling the patient in real-time, and do not have the answers, click Save to bypass the questions and move to the Exam Details Screen.  

 

4/1 - There is now a new process in place for adding and changing referrers to ensure that we keep the Referrer Table clean moving forward, and access for staff that will have the ability to add/edit in the Referrer Table has been limited to key individuals within the organization. Fuji is currently working to clean up the table by both deactivating Referrer Accounts that have not been utilized within a certain amount of time and cleaning up the duplicate accounts. Once that is complete, there is no reason we should have duplicate accounts, as in Fuji 7 you can have unlimited office locations under a single referrer account, unlike Fuji 6, where we were limited to 3 per referrer account. This cleanup is a heavy lift; I will keep you updated on progress as I receive information from Fuji.

Those that have access to the Referrer Table have received training; please follow the steps I provided exactly, and in the order they are listed! You can refer to the documents in the Workflow Updates section at the bottom of this page, or on OneDrive, in the Fuji 7 Training Materials folder. 3/29 - Screening Questions are now an option in the Order Entry Screen. In the Order Entry Screen, you will click Edit Screening Questions to complete (Please see the screenshot below). 

All questions will be optional, however, if you are scheduling a patient in real time, you should be completing these questions at this point in the process, so that you are aware of any information that could impact when, where, or if the patient is scheduled prior to moving forward with creating and scheduling the exam. 

 

3/22/24 - Insurance Carrier field is mandatory in the Schedule Exam Screen.

Advisements:

  • Please make sure that you are assigning and verifying insurance at the ORDER LEVEL, that is where the information gets sent to Zotec from.  This needs to be done in the order before the exam is placed in final status to ensure that exams are billed out correctly. 3.13.2024 - edited 3.19.2024
  • Please ensure that you continue to follow the no show process that we followed prior to going live with Fuji 7 (Link below). You should NOT be using the Mark No Show option under the Actions dropdown menu. 3.19.24

  • When entering diagnosis codes into an order, entering too many causes an error, and the study cannot be completed.  Please only enter the diagnosis codes that are applicable to the order!  The cutoff # is 8 diagnosis codes, but Fuji is working to resolve the issue completely. - edited 3.19.24
